Salary/Pay Rate: $60,000

Type: Direct Hire (On-Site)

 

Archon Resources is currently looking for a Legal Administrative Assistant for Direct Hire to join one of our best clients located in Tulsa, Oklahoma. This is a permanent position with full benefits including medical, vision, dental, PTO, & 401k.  3. Contract position for a period of 6 months to work on a specific project.
 

Summary:

The Legal Administrative Assistant should be highly motivated, self-starting, technologically advanced, and possess excellent organizational and communication skills. Preference will be given to candidates with law firm or corporate legal department experience in business transactions, mergers and acquisitions, financial matters, corporate governance, securities, employment matters, and related fields. The Administrative Assistant will support the Firm’s Managing Partner and other attorneys in the Firm’s transactional practice.
 

Responsibilities:

  • Serve as a liaison between attorneys and other internal departments to ensure smooth operations and communication.
  • Handle logistics for meetings, including conference room reservations, meal orders, technology setup, and reminders to attendees.
  • Prepare and process transactional documents such as purchase and sale agreements, debt and equity formation agreements, merger and acquisition agreements and related documents and financial instruments.
  • Manage appointments and calendar.
  • Proofread documents and check for appropriate formatting, spelling and grammar. Complete revisions, compare versions and prepare redline documents as directed.
  • Manage contract execution and delivery, transaction checklists, business formation documents. 
  • Effectively organize and maintain documents and files within a document management system.
  • Work with managing partner on firm-related projects within highly confidential environment.
  • Demonstrate an effective teamwork attitude and provide assistance to other legal assistants, attorneys and paralegals.
  • Reliable and predictable attendance. Occasional overtime work may be required.
  • Maintain attorney contacts.
  • Use Microsoft Teams and Zoom to schedule and coordinate conference calls and virtual meetings.
  • Conduct conflict checks to ensure firm compliance with legal standards.
  • Draft and manage the preparation of engagement letters for new clients and intake processes.
  • Create new client matters in the firm’s system and track progress throughout their lifecycle.
  • Track and record Continuing Legal Education (CLE) credits for attorneys.
  • Support attorneys with daily time entry and ensure timely submission of billable hours.
  • Review client pre-bills for accuracy, make necessary revisions, and ensure they meet billing standards.
  • Oversee preparation and submission of expense reports for attorneys.

Requirements:

  • Proficient with Worldox, Netdocx or other document management systems.
  • Advanced knowledge of MS Word (with strong Styles experience), Excel, Outlook, PowerPoint, and Adobe Acrobat.
  • Knowledge of Juris or other legal billing systems.
  • Proactive and results-oriented: Ability to work independently, anticipating needs and offering solutions.
  • Professional and positive attitude: Demonstrate helpfulness and professionalism in interactions.
  • Discretion and confidentiality: Use appropriate judgment when handling sensitive and confidential information.
  • Attention to detail: Great focus on accuracy and thoroughness in all tasks.
